Executive Assistant – Private Household (Full-Time) - Remote Working Ref:EA38
We are seeking an experienced, highly organised Executive Assistant to provide senior-level support to a private client and their immediate family. This is a full-time role requiring discretion, sound judgement, and the ability to operate confidently in a high-trust, fast-moving environment.
The position extends beyond traditional administrative support and encompasses elements of financial administration, project coordination, and household oversight. The successful candidate will work closely with the principal, acting as a trusted point of coordination across both personal and professional matters. The position can be entirely remote, however an office in the principals house is provided. The Principal foresees 1 day in the office per week, but with total flexibility for the right candidate.
Key Responsibilities
Diary & Schedule Management
Comprehensive management of complex personal and business calendars
Coordination across multiple time zones and evolving schedules
End-to-end travel planning, including flights, cars, visas, passports, and detailed itineraries
Financial & Administrative Support
Budget monitoring, expense tracking, and preparation of financial summaries
Invoice processing, payments, and reimbursements
Light bookkeeping and liaison with accountants as required
Familiarity with family office or private household financial processes advantageous
Project & Task Coordination
Oversight of multiple concurrent projects, both personal and professional
Coordination of property-related matters, relocations, or renovations
Ensuring timelines and deliverables are met using appropriate tools
Household & Estate Liaison
Coordination with household staff, contractors, and external service providers
Administrative oversight of property-related budgets and documentation
Communication & Representation
Managing correspondence on behalf of the principal (email, phone, written)
Acting as a gatekeeper and primary liaison with internal and external stakeholders
Representing the principal professionally and confidently when required
Preparation of presentations, reports, and meeting materials
Additional Duties
Ad hoc tasks and special projects as required
Occasional domestic and international travel alongside the principal, although rare, and planned months in advance.
Candidate Profile
The ideal candidate will have a proven background as an Executive Assistant or Personal Assistant, ideally within a private household, family office, or comparable high-level environment.
Financially literate, with experience handling confidential documentation
Proficient in Microsoft Office; familiarity with Adobe, QuickBooks, or Xero advantageous
Confident using Apple products and travel / booking platforms
Exceptionally organised with strong attention to detail
Clear, professional written and verbal communication skills
Calm, resilient, and capable under pressure
Demonstrates sound judgement, discretion, and confidentiality at all times
Emotionally intelligent, adaptable, and professional in demeanour
Flexible, reliable, and able to manage changing priorities
Role Details
Start date: April 2026
Working days: Monday to Friday
Hours: 09:00–17:00 (flexibility required)
Salary: £90k - £100k per annum, negotiable for the right candidate
